ASSISTANT PROPERTY MANAGER/ASSET MANAGEMENT SUPPORT



The primary job responsibilities of the Assistant Property Manager position are noted as follows.  Note: Other duties and responsibilities may be added or assigned to the position as needed.


  • Manage tenant and vendor insurance certificate compliance, actively obtain current certificates, follow up to ensure ongoing compliance and maintain files.
  • Schedule and coordinate various recurring maintenance tasks, compliance requirements, and inspections (e.g. fire sprinkler testing, fire extinguisher maintenance, elevator inspections, backflow device inspections, weed abatement, etc.).
  • Prepare lease abstracts, change forms, move-in and move-out forms.
  • Provide phone and email support for tenant/property issues and questions.
  • Back up Junior Property Manager with maintenance of tenant key box and key code information.
  • Maintain tenant contact database, actively obtain new and additional contact info.
  • Maintain access control (Brivo) systems for buildings. Assign fobs, log and track fobs and manage building schedule changes. Initiate work orders with Facility Services for billing to Tenants as applicable.
  • Process prospective tenant applications. Run credit checks and contact credit references. Assemble tenant credit information and prepare prospect/tenant files. Log, reconcile and process individual credit reports to the monthly invoice.
  • Draft lease documents, exhibits and addendums. Manage AIRCRE tokens.
  • Draft proposals, letters, and other property management correspondence.
  • Create and maintain tenant lease files (hard & electronic) in accordance with document archiving standards.
  • Assist with management and scheduling of vendors including drafting vendor contracts.
  • Transfer electric/gas service to appropriate landlord entity at tenant move out.
  • Assist in processing of property budgets and operating expense reconciliations as needed.
  • Assemble monthly 3rd party property management report,
  • Update Lease Expiration Report, send link to the managers on a monthly basis.
  • Coordinate the filing of 3 Day Notices and manage the process along with the Manager and Attorney.
  • Assist with and provide backup for reception desk and Facility Maintenance Services Department as needed.


Supervisory Responsibilities:  This position has no direct supervisory responsibilities.

Education and/or Experience: Associates of Arts (AA) degree or equivalent; or at least one-year related experience and/or training; or equivalent combination of education and experience.


Language Skills: Ability to use professional business language, speak clearly and persuasively, listen and obtain clarification. Ability to respond well to questions and participate in meetings. Strong ability to respond to phone calls and to return communications promptly.


Mathematical Skills:  Ability to apply concepts such as fractions, percentages, rations, and proportions to practical situations.


Reasoning Ability:    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.                  


Computer Skills:  MS Office and Adobe PDF.


Certificates, Licenses, Registrations: Current valid Driver’s License required.  Must provide copy of insurance and have clean Motor Vehicle Report.
